Job Description

You will be independently responsible for managing the administrative needs of the office, you will also provide administrative support to executives such as calendar management, time recording, travel scheduling and expense submission. You will manage the financial expenditures on behalf of the business site, including purchasing, invoicing and account reconciliation support. You will manage the onsite facilities liaising between in country suppliers, the Properties team and Building Management. Act as a point of contact for our suppliers and manage relationships with third party vendors for mailing, shipping, catering and office supplies. You will support associate productivity by acting as a resource for questions and ensuring work-location processes operate efficiently. You will support activities to foster culture including recognition programs, Town Halls, lunch and learns and networking opportunities. You will assist in onboarding by ensuring that all new and transferring associates have information, materials, devices and work areas necessary to be productive, you will provide guidance and help when approached, keep materials that can be used to help associates (training presentations, documents, etc.) organised, up to date and easily accessible. You will meet and greet clients and candidates for interviews, ensure interview/meeting rooms are set up in advance and welcome all incoming guests.

Qualifications

Basic Qualifications
  • Bachelor's degree or equivalent relevant work experience
  • 2 years of experience in administration/office management
  • Fluent in English
  • Proficient with Microsoft Office Suite and Windows

Expectations:

  • Willing to work additional or irregular hours as needed and allowed by local regulations
  • Work in accordance with corporate and organizational security policies and procedures, understand personal role in safeguarding corporate and client assets, and take appropriate action to prevent and report any compromises of security within scope of position
  • Perform other responsibilities as assigned

Additional Information
